This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our desk booking software, workspace management platform, and related services (collectively, the "Service"). By using Reservete, you consent to the data practices described in this policy.
When you use Reservete desk booking software, we collect: (a) Account information — your name, email address, company name, and password when you register. (b) Usage data — desk bookings, meeting room reservations, check-in/check-out times, and space utilization data that you generate through the platform. (c) Device information — browser type, IP address, and operating system for security and analytics purposes. (d) Communication data — messages sent through our built-in chat, support tickets, and feedback you provide.
Your data powers your workspace management experience. We use your information to: (a) Provide and maintain the desk booking platform and workspace reservation system. (b) Process your bookings, reservations, and workspace assignments. (c) Generate analytics and utilization reports for your organization. (d) Communicate with you about product updates, security alerts, and support inquiries. (e) Improve our desk booking software through aggregated, anonymized usage analysis.
Reservete employs enterprise-grade security measures: All data is encrypted at rest using 256-bit AES encryption and in transit using TLS 1.3. Your data is stored in a dedicated, isolated database (database-per-tenant architecture) — your workspace data never mixes with other organizations. We maintain SOC 2 Type II certification and conduct regular third-party security audits. Access to our production infrastructure is strictly limited to authorized personnel with multi-factor authentication.
We do not sell your personal information or workspace data. We only share data: (a) With your organization's administrators as part of the platform's reporting and management features. (b) With service providers who assist in delivering the platform (hosting provider, email service, SMS provider) — bound by strict data processing agreements. (c) When required by law or to protect the rights and safety of Reservete, our customers, or the public. (d) With your explicit consent for integrations you enable (Google Calendar, Microsoft 365, etc.).
We retain your account information and workspace data for as long as your organization maintains an active subscription. Upon termination, you may request a data export within 30 days. After that period, data is permanently deleted from our production systems. Backup copies are purged within 90 days. Anonymized, aggregated usage statistics may be retained indefinitely for product improvement purposes.
Depending on your jurisdiction, you have the right to: (a) Access — request a copy of your personal data. (b) Rectification — correct inaccurate or incomplete data. (c) Erasure — request deletion of your data ("right to be forgotten"). (d) Portability — receive your data in a structured, machine-readable format. Reservete is headquartered in the United States. If you access our workspace management platform from outside the US, your data may be transferred to and processed in the US. We ensure adequate safeguards through Standard Contractual Clauses and data processing agreements with all sub-processors.
We may update this privacy policy to reflect changes in our practices, technology, or legal requirements. We will notify active customers of material changes via email and in-platform notification. Continued use of the desk booking platform after changes constitutes acceptance.
